Your satisfaction and trust are paramount at Midwest Trailer Vault. This policy clearly defines the conditions for cancellations, returns, and refunds for trailers and related products. As trailers are significant, often customized equipment purchases, our policies are designed to be fair, transparent, and in line with standard industry practices. Please review this information carefully before completing your purchase.
1. Order Cancellation & Deposit Refunds
Your ability to cancel an order and receive a refund depends on the status of the trailer and the point in the purchasing process.
- In-Stock, Non-Customized Trailers: You may cancel your order for a full refund of your deposit within 48 hours of placing it, provided the trailer has not undergone preparation for delivery (e.g., servicing, detailing, or hitch installation).
- Custom-Ordered & Factory-Direct Trailers: Once your custom order is submitted to the manufacturer (typically within 7 business days of finalizing specifications), your deposit becomes non-refundable. This is due to the immediate commitment of manufacturing resources and materials specific to your build. Your sales consultant will provide explicit confirmation before your order is submitted.
- Financed Orders: Cancellation of a financed order follows the above guidelines and may also involve coordination with our third-party lending partners.
2. Returns & Exchanges
Given the nature of trailer sales, we do not accept returns based on general “buyer’s remorse” or a change of mind after delivery. However, we guarantee your satisfaction under the following specific circumstances:
- Material Defect or Non-Conformity: If a new trailer has a verified, significant material or mechanical defect that was present at the time of delivery and is covered under the manufacturer’s warranty, you must contact us within 7 calendar days of taking possession. We will work with you and the manufacturer to promptly arrange for repair at our service center or an authorized location. If a repair is not feasible, we will discuss alternative resolutions, which may include replacement or, as a final option, a return.
- Incorrect or Damaged Delivery: If the trailer delivered does not match the specifications on your final, signed buyer’s order, or if it has damage from transport that was not documented at pickup, you must:
- Note the issue on the carrier’s Bill of Lading at the time of delivery (for shipped units) or on our Vehicle Condition Report at pickup.
- Contact us immediately by phone at (605) 381-0131 within 24 hours to report the issue.
3. Warranty Service vs. Return Policy
It is important to distinguish our Return Policy from manufacturer warranties.
Warranty Service: All new trailers are covered by the manufacturer’s limited warranty, typically for 1-3 years against specific defects. We are an authorized service center for the brands we sell and will facilitate all warranty repairs. Warranty claims are handled separately from returns and are not subject to the 7-day reporting window for major defects.
This Return Policy covers specific post-delivery scenarios and is your primary recourse for issues discovered immediately upon receipt.
4. Used & “As-Is” Trailers
All pre-owned trailers are sold “As-Is, Where-Is” after a professional inspection. We disclose any known issues in good faith prior to sale. We strongly encourage a thorough in-person or live video inspection before purchase. All sales of used trailers are final, with no returns or refunds except in the case of a proven breach of the written condition disclosure provided at sale.
5. Parts & Accessories
Unused Parts: New, unused parts in original packaging may be returned within 30 days of purchase for a refund, subject to a 20% restocking fee. A return authorization (RMA) from our parts department is required.
Special Order & Used Parts: All special-order parts, electrical components, and used parts are final sale and cannot be returned.
6. How to Initiate a Return or Report an Issue
To start a return request or report a delivery issue covered under this policy:
Contact Us Immediately: Call us at (605) 381-0131 or email Contact@midwesttrailervault.com. Please have your sales order number and trailer VIN ready.
Provide Documentation: Be prepared to provide photos, video, and a detailed written description of the issue.
Authorization: Do not return any item or trailer to our facility without first receiving a formal Return Merchandise Authorization (RMA) number or written instruction from our management team.
7. State Law Compliance
For consumers located in states with specific return rights laws (e.g., certain “cooling-off” period regulations), this policy will be applied in compliance with those mandatory state requirements.
